Reports to: Coordinator – Finance and Administration

Purpose of the Position

The Trainee in Finance and Administration will collaborate with Habitat Nepal staff, gaining practical experience in managing office administration and financial operations within International Development Agencies. The role primarily focuses on supporting the daily finance, administration, logistics, and store-keeping tasks of the East Field Office, while also assisting partners in their financial management under the guidance of the Finance and Admin Coordinator.

Duties and Responsibilities

  1. Prepare payment requests and seek necessary approvals.
  2. Maintain a well-organized filing system for financial documents in coordination with the finance team.
  3. Manage petty cash and maintain documentation as per the organization’s policy.
  4. Keep track of office inventory by recording supplies and equipment received and distributed to the field and partner organizations.
  5. Monitor staff movement, regularly update attendance records, and maintain an attendance device.
  6. Provide support in the procurement process, including collecting bids and maintaining a register.
  7. Assist in recording, establishing, and maintaining hard copies of key documents, as well as uploading soft copies to SharePoint for future reference.
  8. Handle phone calls, assist with external guests, and support in organizing internal and external meetings and workshops.
  9. Assist with office vehicle arrangements and accommodation as needed.
  10. Offer general administrative support.
  11. Execute support tasks as assigned by the supervisor.
  12. Perform other finance and administrative work as required or as needed.

Education Qualification and Professional Experience

  • The Trainee should hold a Bachelor’s degree in management studies or a relevant discipline.
  • Prior work experience is not required, and fresh graduates are encouraged to apply.
  • Proficiency in English and Nepali languages, both in speaking and writing.
  • Proactive, eager to learn, and possesses a positive work attitude.
